Each evening, the daily claims will be aggregated and loaded into the Virtual Inventory system. The system will use the claims data to adjust inventory levels for your Health Center. The Virtual Inventory System manages inventory levels for two types of inventory: Physical Inventory and Virtual Inventory. Physical Inventory is inventory that is owned and managed by the Health Center, but is located at the Pharmacy. This inventory will only be dispensed to the patients of the Health Center. Virtual Inventory is inventory that is owned and managed by the Pharmacy. The pharmacy may dispense from this inventory to patients of the Health Center, and the Health Center will replenish the inventory at 340B prices. Using two types of inventory enables the Health Center to give the patients greater access to different drugs without a large investment up front.
When an NDC11 reaches a certain point, which we call a “threshold” or “trigger,” an order will be automatically created for the Health Center to review. Certain users within the Health Center will be designated to review the order, make adjustments as necessary and approve the order to be sent to the distribution company. This order is sent automatically from the Virtual Inventory system. The Distribution Company is set up to receive and fulfill the order – the inventory will be shipped to the designated pharmacy and the invoice will be sent to the Health Center. The Virtual Inventory system will also allow the user to view invoices online and compare to what has been sent by the Distribution Company to allow for accuracy in payment.
